Information we collect
We collect only what we need to deliver our programs safely.
- Parent or guardian details: name, email, mobile, suburb and relationship to the child.
- Child details: first name, age or date of birth, playing experience, program and age group.
- Account and login information for the FC Hub.
- Bookings, enrolments, attendance and RSVP records.
- Player development notes, goals, assessments and reports created by coaching staff.
- Consents you give or withdraw, including media and communications preferences.
- Relevant medical, allergy, injury or support information you choose to disclose so we can keep your child safe.
- Communications with us, including enquiries, messages in the FC Hub and support requests.
- Payment metadata such as plan, amount, status and date. We do not collect or store card numbers.
Why we collect it
- To register players and manage enrolments, bookings and schedules.
- To run safe, age-appropriate sessions and respond to incidents or emergencies.
- To track attendance and record player development.
- To communicate with parents and guardians about sessions, changes and account matters.
- To process payments through our payment provider when billing is enabled.
- To improve our programs and to meet our legal and safety obligations.
Data minimisation for children
We deliberately limit what we collect about children. Children do not need to provide information beyond what is required to participate safely. We do not publish children's information, and we do not publish junior player rankings or ratings.
Children's information in the FC Hub is private by default and visible only to the child's linked guardians and to staff who need it for their role.
We do not sell your information
We do not sell, rent or trade personal information about parents or children to anyone.
Service providers who help us
We use trusted providers to operate the platform. These may include:
- Website hosting and database services that store your account and program data.
- GoHighLevel, when connected, for enquiry and customer communications management.
- Stripe, when connected, for payment processing. Card details are handled by the payment provider, not by us.
- Analytics services that help us understand how the website is used.
- Email and messaging providers used to send you program communications.
We share information with these providers only as needed to deliver the service, and we ask them to protect it.
Cloud and cross-border processing
Some of our providers operate cloud infrastructure that may store or process data outside Australia. Where that happens we take reasonable steps to ensure the information is handled with appropriate safeguards and confidentiality.
Access, correction, deletion and retention
You can ask us for a copy of the personal information we hold about you or your child, ask us to correct it, or ask us to delete it. Email info@fcgoldcoast.com and we will respond within a reasonable time.
We keep records only for as long as we need them for the purpose collected, or for as long as we are required to keep them for safety, accounting or legal reasons. Some safeguarding and incident records are retained longer because of their nature.
Security and data breach response
We use access controls, authentication and role-based permissions so that people only see the information their role requires. If we become aware of a data breach we will assess it promptly, take steps to contain it, notify affected families where appropriate and notify regulators where required.
Marketing and unsubscribe
Marketing communications are optional and separate from the essential service messages we send about your child's sessions, account or safety. You can opt out of marketing at any time using the unsubscribe link or by emailing us. Opting out of marketing does not affect your child's participation.
Player development data
Development goals, assessments and reports are created to help your child improve. They are written constructively, are private to the child's guardians and relevant staff, and are never published publicly or used to rank children against each other.
Media consent is separate
Photography, video and marketing use are handled through our Media, Photography and Video Consent Policy. Consent is opt-in by category and can be changed at any time.
Evolving privacy requirements
Australian privacy law, including requirements relating to children's online privacy, continues to develop. We review this policy as guidance changes. We do not claim any particular statutory status or exemption.
